Payments Terms

  • Invoicing and Payment Cycle

  • A detailed invoice is issued at the time of project initiation, milestone completion, or final delivery depending on the agreement.

  • Invoices will include: service scope, timeline, deliverables, payment structure, applicable taxes (GST or international VAT), and bank/payment gateway details.

  • Payment is expected within 5–7 business days of invoice issuance unless otherwise agreed in writing.

  • Advance Payment Requirements

  • For all custom projects, a minimum of 50% advance is required prior to commencement.

  • For projects exceeding ₹75,000 (or equivalent in USD), milestone-based billing may be applied.

  • The final 50% is due before delivery of master files, source files, or full-resolution assets.

  • Accepted Modes of Payment

We accept the following payment methods:

​

  • Indian Clients:

    • UPI, NEFT, IMPS, Razorpay, Paytm for Business

    • GST-inclusive invoices provided

​

  • International Clients:

    • Wise, Stripe, PayPal (with applicable gateway charges)

    • Payments accepted in INR, USD, EUR, GBP, or client’s local currency (exchange rates based on real-time bank data)

All payment platforms used are PCI-DSS compliant and secure.

​

  • Late Payments & Delays

  • A late fee of 5% may be charged if payment is not received within 10 days of the due date.

  • For delays beyond 15 days:

    • Work may be paused until payment is cleared.

    • Future work may require 100% upfront billing.

  • Persistent non-payment may result in legal collection action and IP restriction.

  • Refunds & Cancellations

  • All refund requests are governed by our Refund Policy and must be submitted within the outlined window.

  • Custom work (e.g., design, VFX, modeling, or consultancy) is non-refundable once development has commenced.

  • Downloadable assets (LUTs, templates, 3D kits) are not eligible for refund after download access is granted.

  • Licensing and Ownership

  • Creative assets are released only upon 100% payment clearance.

  • Prior to full payment, all visuals, source files, and rendered outputs remain the intellectual property of Pivotails Studio.

  • Unauthorized use or distribution before payment completion may result in IP infringement penalties.

  • Taxation

  • Indian clients will be invoiced with applicable GST.

  • International clients may be liable for VAT/customs taxes as per their local digital services regulations.

  • Pivotails Studio is not responsible for deducting or covering third-party tax liabilities incurred at the client’s end.

  • Project Suspension Clause

Pivotails reserves the right to:

  • Pause or terminate any service if payment is delayed beyond 30 days without written correspondence.

  • Withhold delivery of final project files or revoke access to digital content.

​

  • Payment Confirmation

  • A formal payment receipt is shared via email after every successful transaction.

  • For downloadable products, license keys or links are shared post-payment confirmation.
