Refund Policy

  • Custom Project Services (Design, VFX, AR/VR, Branding, etc.)

Refunds are not applicable for any custom service once:

  • The project brief is approved

  • The first milestone is delivered

  • Production has commenced

This includes, but is not limited to:

  • 3D modeling & texturing

  • Virtual reality & AR content

  • Cinematic VFX and compositing

  • Logo design, branding systems

  • UI/UX and website design

  • Color grading and post-production

 Why? Custom work requires resource allocation, intellectual time, creative strategy, and delivery planning specific to your needs. Once started, these cannot be undone or resold.

  • Digital Products (LUTs, Templates, Assets, UI Kits)

All digital downloads are considered final sale and are non-refundable once:

  • Access is granted or

  • The download link is activated

This applies to:

  • Look-up tables (LUTs)

  • UI/UX kits or templates

  • 3D models or texture packs

  • AR-ready product assets

We encourage reviewing all product previews, formats, and compatibility notes before purchase.

  • Cancellations

  • Before Work Begins: If a project is cancelled before work has started and no resources were committed, a partial refund (up to 75%) may be approved at management's discretion.

  • Midway Cancellation: If the client chooses to stop the project mid-way, no refund will be provided, but partial deliverables may be shared based on completed stages.

  • Refund Timelines

  • If a refund is approved (under rare, documented cases), the process takes 5–10 business days via the original payment method.

  • Transaction charges or processing fees (Stripe, PayPal, Razorpay) will be deducted from the refund.

  • How to Request a Refund

All refund requests must be submitted to:

Include:

  • Full name and email used during transaction

  • Invoice number or payment proof

  • Clear reason for the request

  • Disputes & Resolution

We encourage contacting us before filing any payment disputes via your bank or payment gateway. In most cases, we can resolve the issue directly and faster.

Pivotails reserves the right to reject refund claims that:

  • Lack documentation

  • Involve client-side delays or indecision

  • Violate IP terms or contract clauses

  • Policy Updates

We may revise this policy from time to time. Any updates will be posted here, and the effective date will be clearly listed.
